The role of the EVC is central to the organisation of educational visits, and its importance is clearly outlined in national guidance. The Department for Education's guidance on Health and safety on educational visits (2018) recommends that every school appoints a trained EVC to coordinate all off-site activity. This advice builds on the longstanding principles of the HASPEV (Health and Safety of Pupils on Educational Visits) guidance, which also emphasises the need for a competent EVC to be in post and to have access to training.

EVCs are key to ensuring that schools meet their legal and educational obligations, providing reassurance to staff, pupilsand parents.   • Schools should appoint an educational visits coordinator and make sure they have the training they need. The headteacher assumes this duty if there is no coordinator. Local authorities or academy trust outdoor education advisers can advise on appointing and training coordinators.

    The coordinator works with the outdoor education adviser to help their colleagues in school to assess and manage risks.

    The coordinator should:

    • be an experienced visits leader

    • have the status to be able to guide the working practices of other staff

    • be confident in assessing the ability of other staff to lead visits

    • be confident in assessing outside activity providers

    • be able to advise headteachers and governors when they’re approving trips

    • have access to training, advice and guidance

  • OEAP NG document 3.4j (Educational Visits Coordinator) says that it is good practice for all establishments to have anEVC, and your employer’s policy may make this a requirement. It is recommended that all EVCs should undertake EVC training, followed by revalidation training at least every three years.
